  • 1.  Physical Safety Emergency Plans Post-Covid

    Hi All,

    I'm not entirely sure what group is best for this question, so I'm just taking a shot in the dark.

    One of my newer areas is Health & Safety. We've been updating our Emergency Response Plan. We have re-opened so we have clients, the public, and service providers at our locations on any given business day. Our previous plan was based on 100% onsite attendance but we are currently loosely following a 3-2 model. We do have a small number of employees who are onsite every day. We did our first post-Covid emergency evacuation drill yesterday only to find out that some of our designated health & coordinators are not on site every day.

    I'm curious to know how you are approaching the health & safety aspects with a hybrid workforce. I'm all ears.

    Are you asking how are others tracking to know who is in the office as opposed to who is not in the office at the time of the drill?  I am not sure what exactly you are looking for help on?  Once I know that, I am happy to help with an answer :)

    Hi Dianne,

     

    The problem I currently have is that I have a primary coordinator and a back up for each area. What I didn't realize is that some program departments were alternating their schedules even further by not just alternating days but alternating by months so what I thought was a consistent approach is not. I was relying on the program directors since they are the ones that set the schedules for their departments.

     

    So, I was wondering if anyone else might using a different type of model.

    Oh, unfortunately, I do not have a solution to that problem since we are only one location.  However, one idea is to use a common calendar for coverage.  In Microsoft you can have a Group calendar (e.g. corporate PTO, meeting rooms, training rooms, IT coverage) which anyone in the company can access.  You could have a calendar for Health and Safety and ensure there is coverage by having a designated person on that Group calendar.  To assign a person to a calendar (you just invite yourself to the calendar) - the calendar's name is the name of the calendar.   Here is a picture of what the calendar looks like on the side if MS Office:
